Cyber3 is a dynamic meeting of international leaders tackling the increasingly critical and complex issues surrounding cybersecurity. Urban Connections has been involved with Cyber3 since the first conference was held in Okinawa in 2015, working closely with conference chairman William Saito. In October 2017, we were pleased to serve as Documentation Sponsor for Cyber3 Conference Tokyo 2017 at Keio University.

Cyber3 was named for its focus on three key themes of cyber connection, cybercrime, and cybersecurity, with discussions that delve into the latest developments of everything from the IoT to AI to digital currencies. As Documentation Sponsor, Urban Connections created clear and concise English summaries of all of the conference’s discussions, carefully incorporating the views presented by the diverse leaders from industry, government, academia, and civil society.

“We need same-day summaries to use at the following day’s sessions”

This is a request we hear often from clients, including Cyber3. Our ability to deliver both high quality and quick turn-around sets us apart from other companies. Like many conferences, summaries play an important role at Cyber3 by compiling the discussions of one day to serve as a jumping off point for the following day.

We also work with clients to meet other logistical requirements. Cyber3’s unique logistics included multiple locations, with each day starting in a main hall for keynote speeches and then having participants break off into separate groups based on the three core themes. We dispatched three editors to attend each theme’s discussion track, submitting each session’s summary under 15 minutes after it had finished. The first day’s summaries were distributed to the participants on the second day. Later, we edited the initial summaries to submit a polished final compilation within three days of the end of the conference.

Our services enable clients to improve the experience of conference participants. For example, some of our clients want to provide conference participants with clear summaries of the various points arising during complex debates. Other clients want to provide summaries to concurrent session moderators who wish to know what happened during other concurrent sessions. Our summaries are also useful for speakers at a conference’s second day seeking a comprehensive synopsis of the previous day’s discussions. We can even deliver minutes the moment a session ends.

Urban Connections staff conduct pre-conference consultations with organizers to grasp the conference’s essence and its unique needs. Such meetings allow us to customize our personnel and services according to the logistics of the conference and achieve optimum performance. Although we were asked to create English summaries for Cyber3 in 2017, we noted that the conference had a session with numerous Japanese speakers. We thus decided to use a Japanese summarizer who could write without anything getting lost in interpretation, and then provided a swift English translation of the summary that captured all the finer points of the discussion.
